More and more users are taking Quattro Pro spreadsheets and
graphics into WordPerfect to include in wordprocessing documents.
Numerous questions have been asked related to joining these two
productivity tools together. This document describes techniques
for combining Quattro Pro spreadsheets and graphics in
WordPerfect documents.

WordPerfect accepts text files created from Quattro Pro
spreadsheets and graphs which are saved in either a EPS, PCX, PIC
or HPGL file format. WordPerfect 5.1 also provides an Import
facility which lets you bring in spreadsheet files directly,
without first saving to a text file format.

IMPORTING SPREADSHEETS TO WORDPERFECT

With WordPerfect 5.1 you can bring in spreadsheet files directly
with a .WQ1 (Quattro Pro) or .WKQ (Quattro) extension. While in
WordPerfect follow these steps:

1. Press CTRL-F5 for Import
2. Select 5-Spreadsheet
3. Select 1-Import File. Specify the filename (and path, if
necessary).

Additional options are available and are discussed in the
WordPerfect documentation.

LINKING SPREADSHEETS IN WORDPERFECT

Spreadsheets may be linked to wordprocessing documents with the
linking facility in WordPerfect 5.1. This allows a certain area
of the WordPerfect document to automatically show information
that exists in a Quattro Pro spreadsheet. To link a spreadsheet
file to a WordPerfect document, start WordPerfect and do the
following:

1. Press CTRL-F5 for Import
2. Press 5-Spreadsheet
3. Press 2-Create Link

Answer the remaining questions about the file name (path if
necessary) and range. The Spreadsheet: 4-Options selection must
be used to update the links when the file is retrieved.

TEXT FILES

If you need a copy of data from a spreadsheet to be incorporated
in WordPerfect or other applications, and you do not use the
Import Feature provided by WordPerfect 5.1, you must create an
ASCII or DOS Text file. To do this print the file to disk in
draft mode.

Quattro Pro formats the file based on two settings: /Print |
Layout | Margins and /Print | Layout | Break Pages. Many users
prefer setting Top, Bottom and Left Margins to zero, Right Margin
set to the maximum of 254, and Break Pages to No.

The left margin settings causes Quattro Pro to include extra
spaces on the left edge if the left margin is more than zero.
The right margin sets the number of characters which will
print across the page before resuming on the next page.
Characters cut off the right edge of the file will print on the
next page.

/ Print | Layout | Break Pages reserves 3 lines on the top and
bottom of each page for headers and footers. Under most
circumstances when printing ASCII text files, this should be set
to No to produce uninterrupted output.

To create an ASCII file using Quattro Pro print the file to disk
in draft mode:

1. Set /Print | Destination to File, and select a file name.
2. Look at /Print | Layout | Margins and adjust them for an
ASCII Text file. (See above)
3. Press /Print | Spreadsheet Print

CREATING GRAPH FILES

Once you have created a graph in Quattro Pro, it may be exported
to several file formats including EPS, PCX, PIC and HPGL. To
create an EPS, PCX or PIC file, select /Print | Graph Print |
Write Graph File and indicate which file format you want.
Quattro Pro prompts you for a file name, which will include
either .EPS, .PCX, or .PIC as the file extension unless you
specify otherwise.

To create an HPGL (Hewlett Packard Graphics Language) file,
requires set the current default printer to an HP Plotter and
printing to a Binary File.

To set your printer as an HP Plotter use the /Options | Hardware
| Printers | 1st Printer (or 2nd Printer, depending on the
current Default Printer shown on this same screen) | Type of
Printer | HP Plotters | 7475. Select Auto for the mode. Then
quit these menus and print the graph to a binary file:

1. Set /Print | GraphPrint | Destination to File.
2. Look at /Print | GraphPrint | Layout to change any options
if necessary.
3. Press /Print | GraphPrint | Go to write the file.

When printing, be sure to set /Print | GraphPrint | Layout |
Orientation to Landscape if you want a portrait graph in
WordPerfect, since the orientation switches for plotter files.
WordPerfect will recognize the extension .PLT as a plotter file.

When creating binary files, specify a unique file name for each
graph being printed. As with other graphics formats, only one
graph will be stored per file. See Chapter 4 of the Quattro Pro
User's Guide for complete information about printing binary
files.

IMPORTING GRAPHS INTO WORDPERFECT

In WordPerfect 5.1 you may include EPS, PCX, PIC, and HPGL files
in your documents using the ALT-F9 menu, 1-Figure, 1-Create and
1-Filename. Remember to include the file extension (and path, if
necessary).

Occasionally, some elements of your graph may appear to be
missing. Often this is caused by a combination of colors which
matches the page background in WordPerfect. For example, Bright
White may not show if WordPerfect interprets that color the same
as the white page the graph is printing on. By default, the grid
in Quattro Pro is set to Bright White. You can change this in
Quattro Pro by using /Graph | Overall | Grid | Grid Color.

Quattro Pro's "Black" and "White" colors are treated as the same
color inside WordPerfect. This can also cause confusion when
working with graphic elements created in Quattro Pro.

The figure editing features of WordPerfect help pinpoint
potential trouble areas with graphs imported to WordPerfect. In
WordPerfect use ALT-F9, 1-Figure, 2-Edit, enter the figure # to
be edited, and 9-Edit to edit your Quattro Pro Graph. If an
element is missing because it is the same color as the
background, try using 4-Invert from the Edit menu. This reverses
the image. Transparent images will then show, indicating that
their color prevents them from being seen in WordPerfect. The
graphic can be left inverted use in WordPerfect, or you may wish
to return to Quattro Pro and select a new color which shows
properly.

Some graphic elements may not be imported due to the limitations
of the file format itself. A .PIC file, for example, may not
completely import 3-D graphs from Quattro Pro. Also, you must
have a PostScript printer to print EPS graphics files.

OTHER GRAPH OPTIONS IN WORDPERFECT

WordPerfect ships with a utility called GRAPHCNV.EXE. Any of the
previously mentioned file formats can be converted from their
original form to a proprietary .WPG (WordPefect Graphic File)
using this utility. The .WPG file can then be imported into
WordPerfect as any other graph. This may be useful in some
situations where WordPerfect has trouble reading a particular
graph. See WordPerfect the documentation for a complete
explanation of GRAPHCNV.EXE.

WordPerfect also ships with a utility called GRAB.COM. This
utility lets you set up the screen the way you want it to look;
then take a "snapshot" of the screen and put that into a file.

Typing GRAB/H in the WordPerfect directory gives instructions for
using GRAB.COM. See the WordPerfect Documentation for a complete
explanation of GRAB.COM.

DATABASE CONVERSIONS

CONVERT.EXE is a WordPerfect utility that modifies existing files
to a format compatible with WordPerfect's Secondary Merge File.
Using this utility, you can convert Quattro Pro data to
WordPerfect for mail merge tasks. To create a Secondary Merge
File for WordPerfect, begin by opening your file in Quattro Pro.
Choose /File | Save As and specify the filename using .DIF as the
extension. This makes Quattro Pro translate the data to a file
format which can be read by the CONVERT.EXE utility. Use the
option in CONVERT.EXE for converting "Spreadsheet DIF to
WordPerfect Secondary Merge". Similarly, if there is a Secondary
Merge File in WordPerfect, you can use the same technique to
bring the data to Quattro Pro. Convert the merge file to a .DIF
file, and use File | Open in Quattro Pro to read the data. See
the WordPerfect documentation for a complete explanation of using
CONVERT.EXE.

Handy Reference Sheet to keep track of the differences between
the different graphics file formats...

PIC: Good Quality output, may lose certain annotator
features and graphics. It will almost always be
necessary to use the 4-Invert option in
WordPerfect.

PCX: Fair Quality output, will keep most graphics
features.

EPS: Excellent Quality output, will keep most graphics
features, need a PostScript printer to print once
in WordPerfect.

HPGL: Fair Quality output, will keep most graphics
features, more complicated process in Quattro Pro
to create.
