TODO (c) 1990,1991 is a copyrighted software product of
Oyler MicroSystems, Deltona, Florida. TODO is distributed under
the shareware concept and is NOT released to the Public Domain.
Please understand that the author, Jerry Oyler has devoted a
large amount of time and effort in the development of this

REGISTRATION

This program is a limited version of the current version.
This will allow you to give it a 'test drive' before purchasing
the most recent, unlimited version. If you find TODO useful you
may purchase a registered copy using the registration form below.
NO PRODUCT support is offered or given unless the user has been
duely registered. However bugs reported and/or user suggestions
for improvements will be given due consideration in future
versions of the software.

INTRODUCTION

The TODO List Manager is designed to give the user the
ability to create and maintain a total of 9,999 tasks for up to a
total of 1,000 different people. It also has the ability to
maintain a total of over 4,000 automatic tasks, with automatic
start and stop dates. Each task is assigned a priority of 1
through 3, as well as a resource (person or company) to accom-
plish the given task.

The TODO List Manager is marketed through the shareware
concept, and is provided in an abbreviated form for a 'test
drive'. In order to receive a fully functional version just
complete the form under the registration section of this docu-
ment.
HARDWARE REQUIREMENTS

The TODO List Manager requires the following minimum hard-
ware.

1. A PC compatible computer, DOS 3.0 or greater, 384K of
main memory (RAM), a parallel printer connected to
LPT1, a hard disk with 2 megabytes of free disk space.
The monitor may be either color or monochrome.

Installation is completed by:

1. Change to the root directory

CD \ and press the return key.

2. Create a subdirectory to contain the TODO List manager.
Dirname is any acceptable directory name you choose.

MD dirname press the return key.

3. Change to dirname subdirectory

CD \dirname and press return key

4. Run the self extracting program containing the com-
pressed files.

TOD220 and press return.

5. Choose a printer/configuration file (printer.cfg).
Default is CONFIG.

example: HPDSKJT.CFG

Once records have been added to a data file(s), the
CONFIG file should not be changed, as it will result in starting
record counts back to 1.

Installation is complete and the program may be run by
changing to the directory in which TODO was installed and typing
TOD. Alternately you may create a batch file and insert the
necessary commands into a DOS batch file.

CAUTION: The program should be run ONLY from the directory
in which it is installed. Therefore the directory should not be
placed in the PATH command as this will result in multiple copies
of the data files in the directories from which it is started.
In other words, the program creates all the files in the current
subdirectory on the current drive.

No alterations are made to the AUTOEXEC.BAT or CONFIG.SYS
files, or to any ENVIRONMENT variables during execution or
installation. You should set FILES = 20 as a minimum in your
CONFIG.SYS file because the program opens 7 files during execu-
tion. The addition of BUFFERS = 20 in the CONFIG.SYS file will
speed up disk access during exection, but is not necessary.

MENU SELECTION

You may select a menu option by using the right- and/or
left-arrow keys to highlight the desired option, and press the
return key. For the reports menu highlight the SELECT option
using the right- and/or left-arrow keys, then using the up-
and/or down-arrow keys highlight the desired reports and press
the return key. You press the escape key at any subordinate menu
and you will be returned to the main menu. To exit TODO, high-
light the EXIT option on the main menu and press the return key.

For a further description, see the DATA ENTRY section for
help and using the calendar, F1 and F2 keys respectfully.

TASKS

Tasks (TODO's) may be created by selecting the ADD option
from the TASK menu. Changes may be made at any time after a task
has been ADDed, by selecting the CHANGE option. Also a task may
be deleted by selecting the DELETE option.

DATE - The first field (task date) is filled with the
current system date as a default. Pressing return accepts the
default date, or the field is cleared and waits for a new date.
Dates less than today are not acceptable and if entered, today's
date will be used before the record is written. Non valid dates
(i.e. 02-29-1991) are not acceptable and will display an error
message, and you are instructed to press any key to continue.
You may then enter a valid date.

PRIORITY - Each task is assigned a priority of 1 through 3,
one being the highest priority, three being the lowest. These
are the only values which are acceptable. Also, the priority
field is a required field and may not be skipped during data
entry.

TASK NUMBER - When the ADD option has been selected, the
Task Number is filled with the next sequential number for tasks.
If you are changing or deleting a task you must fill in the
field, however you need only fill in the significant digits of
the number. The number will be filled with zeros to the left of
the first significant digit. (i.e. You enter a '1' and the
computer responds with '0001'.) This rule applies for all numeric
fields except dates.

Note: The first three fields comprise the data used in generating
the 'key' or record identification. After all three fields have
been entered and validated a key is generated and the index is
checked for its existence. If you selected the ADD option and a
match is detected, and error message is displayed and you must
then reenter the first three fields. In the ADD mode this should
never happen. When the CHANGE or DELETE options have been
selected, an error message is displayed if a match is not detect-
ed. You will then be prompted to reenter the data in the three
fields. If the data in a particular field is correct, then all
that is needed is to press the return key. After verifying the
existence of the task, further data entry in these three fields
is not permitted after this point for this TASK.

The balance of the fields is self explanatory. If you type an
unacceptable key for a particular field, the speaker will beep
and you must enter an acceptable character.

Moving between and editing the different fields, is explained in
the section on DATA ENTRY elsewhere in this manual. If you do
not wish to accept the changes you have made, you may press the
escape key at any time and no data will be written to the file.

COMPLETE A TASK - To complete a task, you select CHANGE at
the TASK menu. After entering the three elements above, you may
move to the last field on the screen and enter the number of the
person who completed the task. If the number of the person
(Resource) who completed the task is not the same as the person
to which the task was assigned, the task will be reassigned to
the person who completed the task. If you want to accept the
estimated hours as the time it took to complete the task and also
that it was completed today, then you need not complete any of
the other fields. Otherwise you simply fill in the other fields.
You can't use a date less than the date it was created. If you
do then today's date is assumed.

DELETE a task - To DELETE a task, you simply fill in the
first three fields. After verifying that the TASK exists, you
will be asked if you want to the TASK deleted. It will be
deleted only if you answer 'Y' to the question.

RESOURCES

Resources are employees, companies, etc. whom may be as-
signed to perform a task. Resources may be created by selecting
the ADD from the RESOURCE menu. Changes may be made at any time
after a resource has been ADDed by selecting CHANGE from the
RESOURCE menu. Also a resource may be deleted by selecting the
DELETE mode from the RESOURCE menu.

RESOURCE NUMBER - This is the 'key' or ID of the RESOURCE
being referenced. When in the ADD mode this field is filled with
the next sequential number for RESOURCES. When in the CHANGE or
DELETE mode you may enter the number for the RESOURCE you wish to
retrieve. Only numeric characters are acceptable. A response of
'0' is unacceptable. You need only enter the significant digits
for the number you wish to retrieve. If you are processing a
CHANGE or DELETE, and the number you enter is not on file an
error message is displayed, requesting a key response to contin-
ue.

PHONE NUMBER - You may only enter numeric characters in this
field, any other response causes the speaker to beep and the
character is not displayed. You may enter a seven-digit or ten-
digit phone number. If you are entering a seven-digit phone
number you need not move the cursor past the area code (XXX)
portion of the field. The resulting number will be right adjust-
ed in the field and the area code is assigned a value of '000'.

LAST NAME - Enter a last name of up to 18 characters. If a
company name is being entered then you may use the FIRST NAME
field for any additional name information you wish to enter.
Only alphabetic characters are acceptable and any lower case
characters are converted to upper case. This is a system speci-
fication and cannot be overridden. This will ease searches for
latter versions which are being planned. FIRST NAME and INITIAL
fields have the same characteristics as the LAST NAME field.

START DATE - This date field can be the hire date or the
date you started using a company or any other definition you may
wish to define. Only numeric characters and valid dates may be
entered. The TERMINATION DATE is used as the date services were
terminated and has the same characteristics as the START DATE.

STATUS - The status field is used to identify a RESOURCE
status as follows: 1 Resource is Active
2 Sick
3 Vacation
4 Holiday

5 Leave of absence
6 On Workers Compensation leave
7 On a maternity leave
8 Terminated
9 Other - Not Active

Only numeric characters from 1 through 9 are accepted in
this field.

STATUS START DATE - This date field is provided to help in
RESOURCE allocation, if a particular RESOURCE is not going to be
available for use for an extended period of time. It is intended
that this is the date the RESOURCE will start a period of un-
availability for allocation for the reason specified in the
STATUS field. Only numeric characters and valid dates are
acceptable.

STATUS STOP DATE - This date field is to be used for a
confirmed or projected date the STATUS is expected to end.

SHIFT - This field is provided to help in resource alloca-
tion to indicate which shift a person is working. Only numeric
characters are allowed.

HRS PER SHIFT - This field is provided to help in resource
allocation to indicate the length of time a person works during
their assigned shift. Only significant digits need be entered
and the result is right justified in the field. Only numeric
characters are allowed.

RESOURCE TYPE - Only numeric characters 1 through 7 are
allowed and are defined as follows: 1 Employee full time -
permanent
2 Employee full time - temporary
3 Employee part time - permanent
4 Employee part time - temporary
5 Agency pool personnel - temporary
6 Contractor
7 Sublet / maintenance contract

SUPERVISOR - This is the RESOURCE number of the supervisor
this RESOURCE is assigned to.

AUTOMATIC TASKS

Auto(matic) Tasks is a function designed to handle those
tasks which are repetitive in nature on a cyclical basis. (i.e.
they must be performed weekly, monthly, yearly, etc.)

AutoTasks may be created by selecting the ADD option from
the AUTOTASK menu. Changes may be made at any time after a task
has been ADDed, by selecting the CHANGE option. Also an Autotask
may be deleted by selecting the DELETE option.

DATE - The first field (task create date) is filled with the
current system date as a default. Pressing return accepts the
default date, or the field is cleared and waits for a new date.
Dates less than today are not acceptable and if entered, today's
date will be used before the record is written. Non valid dates
(i.e. 02-29-1991) are not acceptable and will display an error
message, and you are instructed to press any key to continue.
You may then enter a valid date.

FREQ TYPE - The frequency type relates to how often the
autotask should occur as follows: 0 A calculated frequency
(i.e. change oil in car every 7,500 miles)
1 Daily

2 Weekly
3 Bi-Weekly (every 2 weeks)
4 Monthly
5 Bi-Monthly (Every 2 months)
6 Quarterly
7 Semi Annually (every 6 months)
8 Annually

Only numeric characters a allowed in the range outlined above.
If the frequency type is 0 then the next two fields are perti-
nent, otherwise they are ignored.

USAGE FREQUENCY - This describes the interval at which the
calculated task is to occur. This field and the USAGE PER DAY
field must be express in the same unit of measure or inaccurate
frequencies will be calculated. (i.e. if you use miles in this
field then you should also use miles in the USAGE PER DAY field.
This field assumes that calculated days are expressed in terms of
weekdays only. The calculation is - UsgFreq/UsgPerDay * 5 / 7.
The result is returned as an integer rounded up. Example: You
wish to be reminded to change the oil in your car every 7,500
miles and you drive an average of 125 miles per day. The result
is 7,500/125 * 5 / 7 = 43 days. This means that every 43 days a
new task will be created and placed in todo list assigned to the
person indicated in the ASSIGNED TO field.

Only numeric characters are allowed in this field and you
need only enter the significant digits. The field will be right
justified after you press return.

DATE TO START - This is the valid date you wish this
autotask to begin. The only restriction placed upon this date is
that the start date must be equal to or greater than today.
This default value is today's date and pressing return without
entering new data will use the default value. A new task is not
created until the date entered in this field is equal or less
than today's date. This date field only comes into consideration
in 3 situations: 1) Upon creation of the autotask, 2) each day
when the programs first starts, and 3) when the original start
date is changed.

DATE TO STOP - This is the valid date you wish this autotask
to stop creating new tasks. If left blank then it will never
cease. This date field only comes into consideration in 3

situations: 1) Upon creation of the autotask, 2) each day when
the programs first starts, and 3) when the original stop date is
changed.

The balance of the fields is self explanatory. If you type
an unacceptable key for a particular field, the speaker will beep

REPORTS

The REPORTS option consists of four different reports. To
select a report use the up and/or down arrow keys to highlight
the desired report. Make sure that the menu selection option is
SELECT, then press the return key.

The four report options currently supported are Incomplete
Tasks, Complete Tasks, Resource Status Report and Auto Task
Listing.

INCOMPLETE TASKS - after pressing the return key, two
prompts are displayed. The first requests the week number with
which to start the listing. The week number is the number of the
week of the year. Weeks are numbered 1-52 or 53 depending upon
the year in question. You are then prompted for the number of
weeks which you want to be print. Pressing return at both
prompts will print all tasks in the reporting category selected.

The report is printed by the RESOURCE assigned to the task,
in priority order by date and by number. Currently there are no
other sort options, but more are planned for future releases.
You will be asked if you want to print the reports, if your
response is 'Y' then the report is printed, anything else cancels
the print request.

AUTOTASKs by date created. You will be asked if you want to

DATA ENTRY

The data entry portion of most applications is probably one
of the most important aspects of the entire software package. If
it is designed in such a
way that does not reduce the number of keystrokes to a minimum
then it is poorly designed. The data entry portion described is
an effort to accomplish those goals.

One of the most important tasks that any data entry function
should support, is the ability to move around the different
fields and back with a minimum of effort. Also because there are
people who have become accustomed to moving from field to field
in a particular way, I have tried to accommodate those varied
styles, with one major exception. That is, to enter the number
of a field you wish to edit. This method, while it has its good
points, is the least desirable method for entering data into
multiple fields.

Changing fields - The three methods for changing fields are,
using the up- and down-arrow keys, tab and shift-tab, and the
return key.

F9 key - This saves all data currently appearing on screen
to a file, clears the data screen and starts over with another
record.

F10 key - Exits and saves the data without completing the
entire record.
INS key - The character under the cursor and all characters
to its right are move one space to the right and a space is
inserted at the cursor position in the current field.

DEL key - The character under the cursor is deleted and all
data following the cursor position is moved one position to the
left and a space is added to the end of the field.

END key - Pressing the END key moves the cursor to the next
position following the last non blank character in the current
field.

HOME key - Pressing the HOME key moves the cursor the
beginning of the current field.

RIGHT-ARROW key - Moves the cursor in the current field one
position to the right.

LEFT-ARROW key - Moves the cursor in the current field one
position to the left.

UP-ARROW key - Moves the cursor to the first position in the
preceding field. If the current field is the first field then
the cursor is moved to the last field on the screen.

DOWN-ARROW key - Moves the cursor to the first position in
the next field on the screen. If the current field is the last
field then the cursor is moved to the first field on the screen.

TAB key - See the DOWN-ARROW key explanation.

SHIFT-TAB key - See the UP-ARROW key explanation.

RETURN key - See the DOWN-ARROW key explanation. If the
cursor is positioned in the last field of the screen when
you press the return key, then data entry will be terminated and
you will be back at the currently active menu.

ESC key - Exits data entry to the current menu and no data
is written to the file. However, the data is not cleared and by
simply choosing the appropriate option the data can be reused.

Data entry in multiple records. This means that you want to
enter and save the data in several records before exiting to the
menu. To accomplish this you press the F9 key when data entry is
complete.

Inserting characters into any field is accomplished by
moving the cursor the desired field. Now using the right arrow
key move the cursor to the position where the correction is to be
made, press the insert key and a space is inserted at the current
cursor location. You then type the character you want inserted
into the field.

Deleting characters from any field is accomplished by moving
the cursor the desired field. Pressing the right arrow key move
the cursor to the position where the correction is to be made,
pressing the delete key.

Some fields have characteristics which allow only specific
characters to be entered in the field. This eliminates the need
to edit the field for valid after a return, tab, shift-tab, down-
arrow or up-arrow key has been pressed. At the same time removes
the possibility of unwanted data in the field. A good example is
a date field. All date fields allow only numeric data and the
dashes between the elements of the date are unnecessary reducing
the number of required keystrokes by two for each date processed.

Some fields are critical and must contain valid data. These
are required fields and no further processing is allowed until
the valid data is supplied by the user.

In fields requiring numeric data, only the significant
digits need be entered and the data is right justified in the
field and padded with leading zeros.

Phone number fields are required to have either 7 or 10
digits entered.

Date fields are not right justified and leading zeros must
be entered when entering a date.

If the cursor is in the first position in the field and the
field contains data, then the field is cleared of old data.

HELP

Pressing the F1 key at a menu or while entering data will
pop up a window containing help information regarding the cur-
rently selected option or field as the case may be. Pressing the
ESC key restores the previous screen.

CALENDAR

Pressing the F2 key at a menu or while entering data will
pop up a window containing a calendar of the current month. You
may view months by pressing the right and/or left-arrow keys.
You may view years by pressing the up- and/or down-arrow keys.
The calendar is valid from 1573 to 9999. Press the F2 again and
the previous screen is restored. The calendar does not change to
the year or month displayed by the calendar. It is included only
for assistance.
