Layout Editor Utility

INSTALLATION
To install the Layout Editor copy the LAYOUT.EXE to the ACTWIN2 directory. The Layout Editor can then be launched using File Manager or attached to an icon for use from the desktop.

USING THE DOCUMENTATION

For the purposes of this documentation all functions are defined using menu options. For icon references, refer to the ICON BAR section.


OVERVIEW
The Layout Editor is used to design custom screen layouts for use in ACT! for Windows 2.0. Using the editor you can edit existing screen layouts or create new screen layouts choosing which fields to display and where fields should be located on the screen.

The Layout Editor will place a LAYOUT.INI file in the resident windows directory (e.g. \WINDOWS) the first time LAYOUT.EXE is launched. The LAYOUT.INI file contains the path and file names for up to the last four layout documents opened in the editor.

A layout file is used by ACT! to determine the following:
-field and field label position on the screen
-field length displayed on the screen
-field label length displayed on the screen

Changing layout files does not affect the database structure. Actual field and field label lengths as stored in the database structure are not editable in ACT!. Field label definitions, pick lists(pop-ups), and field attributes are also not affected by changing layout files. This information is stored in the Description (.DES) file.

Using the Layout Editor

Creating a New Layout File
To create a new layout file choose File-New from the menu or click on the File New. A blank layout file will be place in the window.

Editing an Existing Layout File
To edit an exising layout file choose File-Open. To select a layout file double-click on the filename or highlight the filename and press {Enter}. The layout file will appear in the window.

Adding Fields to a Layout File
To begin adding fields to the layout file select the Field tool by choosing Tools-Field. The cursor wil now display a crosshair and the Field tool indicator. Place the crosshair at the point on the layout file where you wish to have the top left hand corner of the field anchored. With the cursor at the appropriate place, press and hold down the mouse button. Drag the cursor to expand the field to the desired length and release the mouse button. A field list will be displayed. Choose the field to be inserted by highlighting the field name and pressing {Enter} or double-clicking on the field name. The field list will display only the fields which are not already in the layout.

To place more than one field on a layout in succession you should choose Tools-Lock Tool. A bullet will appear beside the Tool Lock option on the menu. If you do not lock the tool, the layout editor will revert to selection mode after each field is inserted.

When a field is placed on a layout the field name will appear in the field label box as well as the field data box. This enables the user to identify each field even if a description file is applied that changes the field labels.

Moving Fields within the Layout File
To move a field to a new screen location choose Tool-Select from the. Place the cursor on the field and the cursor will appear as the Selection tool. Press and hold the mouse button and drag the field to the new location. Release the mouse button to anchor the field. The field will snap to the nearest gridline.

Sizing Fields and Field Labels
To resize a field, place the cursor on the right edge of the field. The cursor will change to the sizing cursor. Press and hold the mouse and drag the field edge right or left to increase of decrease the field width.

To resize a field label, place the cursor on the left edge of the field. The cursor will be displayed as the sizing cursor. Press and hold the mouse and drag the field edge right or left to increase of decrease the field label width.

Fields and field labels can also be resized using the separator between the field and the label. To resize, place the cursor on the separator. The cursor will be displayed as the sizing cursor. Press and hold the mouse and drag the separator right or left to increase of decrease the field or label width.


Aligning Fields within the Layout File
To choose the fields to be aligned :
1) choose Edit-Select All to select all fields in the layout file. In this case the first field on the screen is the reference object. Or
2) place the cursor on the field to be aligned, press and hold the {Shift} key and press the mouse button . Repeat for each field to be aligned. Selected fields will appear with bolded edges. In this case, the last field selected is the reference object.

Choose the appropriate alignment option from the Tools-Align menu. The selected fields selected will be aligned with the reference object according to the option chosen.


Saving a Layout File
After a layout design is complete the file should first be named as you would have it appear on the View-Layouts menu in ACT! for Windows. To name a layout file choose Edit-Layout Name and type in a short description of the new layout file (e.g . Phone Nubmers). To save the layout file to disk, choose File-Save As, type in a filename and press {Enter}.
NOTE: The layout file must be saved in the LAYOUTS subdirectory under the ACTWIN2 directory to appear as an option on the Layout menu within ACT!.

MENUS

FILE
NEW - Places a new layout document in the editor window.
OPEN - Retrieves an existing layout document.
CLOSE - Closes the selected layout document. If the document has not been saved, you will be prompted to save the file before closing.
SAVE - Saves the currently selected layout file using the current filename. If the layout document has never been saved, the user be will prompted for a filename.
SAVE AS - Saves the currently selected layout file prompting the user for a new filename.
APPLY DESCRIPTIONS - Applies a previously defined description file from ACT! for Windows 2.0. The layout will be displayed using the field names defined in the selected description file.
(RECENT FILE) - Displays the filenames of the four most recently accessed layout files.
EXIT - Exits the Layout Editor.

EDIT
The EDIT menu is available only when a new layout file is created or an existing layout file is opened.
CUT - Deletes the selected fields from the layout and places them on the clipboard.
COPY - Copies the selected fields to the clipboard.
PASTE - Places the contents of the clipboard into the active layout.
DELETE - Removes the selected field(s) from the active layout.
SELECT ALL - Selects all fields in the active layout.
ACT! MENU NAME - Assigns a name to the active layout to be displayed on the layout menu in ACT!.

TOOLS
The TOOLS menu is available only when a new layout file is created or an existing layout file is opened.
SELECT - Enables editing of the layout document design.
FIELD - Enables placement of a single field.
LOCK TOOL - Locks the currently selected tool, i.e. Selection Tool or Field Tool. The current tool will remain active until another tool is selected.
ALIGN - Aligns the selected fields by the selected side, Right, Left, Top, Bottom, or Horizontal at the Center.
SPACE EVENLY - Spaces the selected fields Across or Down, using the outer most fields as the space boundaries.
RESIZE - Makes two or more selected fields the same length as the last reference object. This includes the label and overall field size.
EDIT LAYOUT - Places the currently selected layout file in editing mode. A bullet will display in the pull down menu when this option is selected.
EDIT TAB ORDER - Places the currently selected layout file in a mode to modify the order for tabbing. Once in this mode, swap tab numbers by selecting a tab number and dragging it to a field. A bullet will display in the pull down menu when this option is selected.

WINDOW
The WINDOW menu is available only when a new layout file is created or an existing layout file is opened.
CASCADE - Cascades the current layouts.
TILE - Tiles the current layouts.

TOOL BAR - Activates/deactivates the tool bar. A checkmark will display in the pull down menu when this option is active.
STATUS BAR - Activates/deactivates the status bar. A checkmark will display in the pull down menu when this option is active.
(OPEN LAYOUT NAME) - Displays the filenames of the last four layout files opened in the editor.

HELP
ABOUT LAYOUT EDITOR - Displays version and copyright about the editor.

ICON BAR

The icons are macro commands for often used menu items .

Create New Document
Creates a new, untitled layout file. This will also extend the Menu Bar Options to File, Edit, Tools, Window, and Help. This is the macro command for the menu item FILE/NEW.

Displays the File Open window enabling you to retreive a previously saved layout file.

Displays the File Save As window enabling you to save the currently selected layout file using a new filename.

ACT! Menu Name
Assigns a name to the active layout to be displayed on the ACT! layout menu.

Cut
Deletes the field selection(s) and place them on the clipboard.

Copy
Copies the field selection(s) and place them in the clipboard.

Insert
Places the Clipboard contents in the selected layout document. If one or more fields in the selected layout document are a duplicate of fields on the clipboard, the following message is displayed.



Only the unique fields on the clipboard will be inserted.

Edit the Layout
Places the currently selected layout document in layout design editing mode.

Edit the Tab Order of the Layout
Places the currently selected layout document in a mode to modify the order for tabbing. Once in this mode, swap tabbing numbers by selecting one tab number and drag it to the field of the other tab number.

Selection Tool
Enables selecting of the fields with the mouse.

Field Tool
Enables editing of an individual field.
