INTRODUCTION

AUTO-MATE is a vehicle expense and maintenance
tracking system. AUTO-MATE can track up to 10 user defined
expense categories, and up to 10 user defined maintenance
categories.
AUTO-MATE reminds you when maintenance is due. After
maintenance is completed, AUTO-MATE automatically calculates
when next maintenance is due.
AUTO-MATE tracks fuel economy, total cost by category,
cost per (mile/kilometer). These items can be viewed in easy
to read graph form as well as text form.
AUTO-MATE can print a summary of expenses and fuel
economy, or it can print your entire data log for your
review.
AUTO-MATE can create any number of data files, making
this program ideal for, companies with large fleets, as well
as for the individual with a single vehicle.
AUTO-MATE is designed for ease of use. I believe that
most of the features of this program are basically self
explanatory. This manual is intended as a general overview
of the menu's, and some of the special features that can be
employed.
I will update this documentation and the AUTO-MATE
program as I see fit from the feedback that I receive from
users of this program.
The shareware version of AUTO-MATE has all the features
of the registered version, plus the sometimes annoying
shareware screen.
If you have any comments or suggestions about AUTO-MATE
or this documentation, or find any "unexpected features" (I
hope I have eliminated most of them), please drop me a note.
If I use any of your suggestions, and you are among the first
five persons to note them, I will send you a free update
(shareware or registered copy, depending if you are a
registered user) with the new corrections and/or added
features.
If you find this program useful and plan to continue
using it after a 30 day trial period please register it. As a
registered user you will receive the latest version of this
program (without the shareware screen), notification of

GETTING STARTED

The file "SAMPLE.VEH" is included with this package. It
should be used to get aquainted with AUTO-MATE. You can load
this file from the main menu by:
1: Type 'L' (LOAD FILE)
2: When asked for name of file to load, type "SAMPLE.VEH".

If you wish you can also load SAMPLE.VEH from the dos command
line by typing "AUTO SAMPLE.VEH".

You can now experiment with all of the features described in
this user's guide.
HAVE FUN!!


THE MAIN MENU

LOAD FILE: This option allows you to open an existing data
file or create a new data file for another vehicle.

EDIT/ADD DATA FILE: This option allows you to view, add, or
edit data file.


UPDATE CURRENT FILE: This option saves current work file to
disk.

PRINT MENU: This option allows you to print expense logs,
reports, and blank expense forms.

SETUP: This option allows you to setup parameters for
vehicle. This option should be used immediately after
creating a new data file.

DOS SHELL: This option allows you to shell to Dos without
exiting this program. To return to this program, type "EXIT"
at the dos prompt.

QUIT PROGRAM: This option allows you exit program, and
returns you to dos.

CREATING A NEW DATA FILE

From the MAIN MENU type 'L' (LOAD FILE). You will be
prompted for the name of the file that you wish to open.
Upon opening file, you will be asked for information about
your vehicle, and a starting point to base maintenance
information on.

The base information is used to calculate when next
maintenance is due. Maintenance due is calculated by adding
the base information to the maintenance intervals found in
the Setup Menu.

THE SETUP MENU

CATEGORIES: This option allows you to define up to 10 expense
categories, also category to be used for fuel, and category
to be used for maintenance. (See DEFINING CATEGORIES)

MAINTENANCE SCHEDULE: This option allows you to define up to
10 maintenance categories including frequency of service for
each. (See MAINTENANCE SCHEDULE SETUP)

NEXT MAINTENANCE: This option allows you to enter the date
and odometer reading for next scheduled maintenance of user
defined maintenance categories. (See NEXT MAINTENANCE SETUP)

VEHICLE INFORMATION: This option allows you to edit
information about your vehicle, including make, model, year
of vehicle, vehicle identification number, and license plate
number. When creating a new data file, you will be asked for
this information about your vehicle.

GENERAL SETUP MENU: This option is used for miscellaneous
setup options that do not seem to fit into above categories,
including, but not limited to: measurement of fuel(U.S.
gallons or liters), Odometer measurement(miles, or
kilometers) and maintenance reminder options.

SAVE AS DEFAULT: This option allows you to save current setup
parameters for data files to be created in the future, This
will save much of effort if items like expense categories,
and maintenance schedules are similar. This option does not
change parameters for existing data files.

QUIT TO MAIN MENU: This option returns you back to the main
menu.



DEFINING CATEGORIES

From Setup the menu type 'C' (CATEGORIES). A listing
of the expense categories will appear. You will be asked if
the information is correct, 'Y' or 'Esc' will exit, if you
answer 'N', you will be asked which category you wish to
change.
If you change your mind, hit Esc key, otherwise type
number of category to change.
You will then be prompted for the new name of the chosen
category.

MAINTENANCE SCHEDULE SETUP

From the Setup menu, type 'M' (MAINTENANCE SCHEDULE). A
listing of the maintenance categories will appear with their
respective maximum time and mileage intervals. You will be
asked if the information is correct, 'Y' or 'Esc' will exit,
if you answer 'N', you will be asked which maintenance
category you wish to change.
If you change your mind, hit Esc key, otherwise type
number of category to change.
You now will be prompted for the new name of the chosen
maintenance category, maximum interval in months that
maintenance is to be performed, and maximum interval in miles
or kilometers that maintenance is to be performed.


NEXT MAINTENANCE SETUP

From the Setup menu, type 'N' (NEXT MAINTENANCE). A
listing of the maintenance categories will appear with their
due dates, and due mileages. You will be asked if the
information is correct, 'Y' or 'Esc' will exit, if you answer
'N', you will be asked for number of category to edit.
If you change your mind, hit Esc key to exit, otherwise
type number of category to edit.
You will now be asked for the date that this maintenance
is to be performed by (use mo/da/yr format to enter date),
and then maximum mileage for maintenance to be performed by.


EDITING VEHICLE INFORMATION

From the Setup menu, type 'V' (VEHICLE INFORMATION).
You will now be asked for vehicle make, model, model year,
vehicle identification number, and license plate number.


GENERAL SETUP

From the Setup menu, type 'G' (GENERAL SETUP). You will
now be presented with odometer unit of measure, fuel unit of
measure, number of days warning before scheduled maintenance,
and number of miles/kilometers warning before scheduled
maintenance. You will be asked if information is correct,
'Y' or Esc will exit, if you answer 'N' you will asked for
number of item to change.

SETTING UNIT OF MEASURE FOR ODOMETER

From General setup (when asked if information correct),
type 'N' (NO). A column of menu selections will pop up at
left of items. Press '1'(for odometer unit of measure). You
will now be asked to choose either M (for miles), or K (for
kilometers).

SETTING UNIT OF MEASURE FOR FUEL

From General setup (when asked if information correct),
type 'N' (NO). A column of menu selections will pop up at
left of items. Press '2'(for fuel unit of measure). You will
now be asked to choose either G (for U.S. gallons), or L
(for liters).

SETTING MAINTENANCE WARNING ALARM

From General setup (when asked if information correct),
type 'N' (NO). A column of menu selections will pop up at
left of items. Press '3'(for number of days before scheduled
maintenance) o '4'(for number of miles/kilometers before
scheduled service). You will now be asked to enter the
desired warning.

EDIT/ADD/VIEW MENU ADD DATA TO EXPENSE

FILE: This option allows you to add new data to expense file.
(See ENTERING NEW DATA)

VIEW/EDIT EXPENSE FILE: This option allows you to view,
edit, and delete data items. (See VIEWING DATA, EDITING
DATA, & DELETING DATA)

CALCULATE DATA FOR VEHICLE: This option allows you to
calculate expenses, and fuel economy for vehicle.

QUIT TO MAIN MENU: This option returns you back to the main
menu.

ENTERING NEW DATA

From the EDIT/ADD menu, type 'A'("ADD DATA TO EXPENSE
FILE").
You will be asked for the expense category in which to
log data. Type the number of the desired category to edit.

You will now be prompted for the date (use mo/da/yr
format), odometer reading, description (up to 50 characters),
and cost.

If AUTO-MATE cannot locate a valid place in the expense file
for date and odometer readings you will be presented with the
following options: (see ESTIMATING ODOMETER/DATE)

O: Enter new odometer reading
D: Enter new date
1: Estimate odometer(based on date)
2: Estimate date(based on odometer)
Esc: Cancel entry

If maintenance is due soon or overdue AUTO-MATE will alert
you of this condition before returning to menu.



VIEWING DATA

From EDIT/ADD/VIEW Menu, type 'V' (View data file). You will
now see a window with up to five items listed within. To
scroll items in window one item at a time, press up/down
arrow keys. To scroll items a page at a time, press /
keys. You can also use right/left arrow keys to
scroll by page, to go to beginning of file, and
to go to end of file.

GOTO: This option will allow you to go directly to a desired
item in your file by record number, odometer reading, or by
date.
To goto a particular item, press 'G' (Goto) from VIEW
MENU, you will now be prompted for method of search (by
record, by date, or by odometer). Enter desired method. You
will now be prompted for the item to search for.
If you want to search by date or odometer, you do not
need to know the exact information, AUTO-MATE will find the
items that are closest to the information you enter.


EDITING DATA

To edit an item, press 'E' (Edit) from the VIEW MENU,
you will now be asked for the record number of the item you
wish to edit. Upon entering record number, you will now be
shown the item plus a column of options to the left. To edit
a field, press the number that corresponds to that field.
When you are satisfied with the item, press Esc to return to
the VIEW MENU.

DELETING DATA

To delete an item, press 'D' (Delete) from the VIEW
MENU, you will now asked for the record number of the item
you wish to delete. Upon entering record number, you will
now be shown the item, and then asked to verify that you wish
to delete it. If you decide not to delete the item, press
'N' or Esc, this will return you back to the VIEW MENU.

Note: After deleting an item, the items following it
automatically be moved up to fill in the gap left by the
deleted item.

THE CALCULATE MENU

CALCULATE TOTAL COST BY CATEGORY: This option allows you to
analyze total cost of operating vehicle in up to 10 user
defined categories.

CALCULATE COST PER MILE/KM BY CATEGORY: This option allows
you to analyze cost per mi/km in up to 10 user defined
categories.

CALCULATE FUEL ECONOMY: This option allows you analyze fuel
consumption in (miles or kilometers) per (gallon or liter).
Includes overall average, average of 10 most recent fuel
entries, and last fuel entry.





PRINT MENU

PRINT LOG: This option allows you to print a detailed log of
you entire vehicle file.

PRINT REPORT: This option allows you to print a report that
includes cost by category (total cost and cost per mi/km),
information about next maintenance schedule, and fuel
economy.

PRINT BLANK EXPENSE FORM: This option prints blank expense
forms that can be carried in your vehicle to log expenses,
such as fuel, to be logged into AUTO-MATE at a later time.

ESTIMATING ODOMETER/DATE

If you know only the odometer or date (not both), you may
elect to enter the known factor, erroneous data for unknown
factor (this will give you the option to estimate).

If target of known factor falls prior to first entry,
estimated factor will be same as that of first entry.

If target of known factor falls later than latest entry,
estimated factor will be same as that of latest entry.

For these reasons, it is not recommended that you have
Vehicle Manager estimate items that fall into these ranges.

Also, because estimates are derived by calculating averages,
future entries with valid data may conflict with the
estimated data. If this happens you may need to edit the
estimated data. (see EDITING DATA)

For reasons of accuracy it is always best if you have the
exact data.

Note: On my personal vehicle file (because of lack of data),
I had to estimate much of the information. I did this by
entering all of the known items first, then letting Auto
manager estimate the rest, making sure known date or mileage
item's were within range of current data file.
