SYSTEM REQUIREMENTS

The program will run on the IBM PS/2, PC/AT, PC/XT, PC and
100%-IBM-compatible microcomputers. Minimum requirements are:
- 512K RAM
- DOS 3.1 or higher
- One diskette drive
- Either a monochrome or color monitor
A hard disk is highly recommended, though not required.

INTRODUCTION
------------
The Personal Address Book Program allows you to create records for all
of your business and personal contacts. Each record includes an
individual's name, title, department, business and home addresses, and
business and home telephone numbers. You may also enter a brief comment
for each record, and as many as four selection codes. The selection
codes may be used to designate the person's profession, degrees, status,
or any categories you wish.
Once records are entered, you may print out custom lists in several
formats, i.e., large and small Polodex-type cards. mailing labels, and,
of course, standard reports. Standard reports permit you to print
detailed and/or summary lists.
The program is entirely menu-driven, i.e., you access the various
functions and facilities by selecting the appropriate items from the
menus. The menus permit you to customize the address report headers,
printer specifications, scan records, print reports, and add and update
the database using the various file utilities and edit functions.
INSTALLING THE PROGRAM
----------------------
While you may run the program from the diskette (make a backup copy
first -- NEVER use the original diskette), we highly recommend that you
install it to your hard disk.
The program comes with an automated INSTALL program. This program will
create a directory on your hard disk (drive C:), called ADDRESS. It will
then copy the program into this directory. (If you wish to copy the
program to a different drive and/or a different directory, simply make
the appropriate changes to the INSTALL.BAT file. If you do not know how
to change .BAT files, please consult your DOS manual.)
To install the program as configured, insert the system diskette into
your A: drive. Then,
Type: A:INSTALL and press ENTER
That's all there is to it.

STARTING THE PROGRAM
--------------------
Since the program has been installed into its own directory, you start
it by first changing to the directory into which you installed it. For
our purposes here, we'll assume that you ran the automated install
program, so that the files are in the ADDRESS directory on your C:
drive. Make sure you are in your C: drive. To do this, at your DOS
prompt,
Type: C: and press ENTER
At your DOS prompt, change to the ADDRESS directory as follows:
Type: CD \ADDRESS and press ENTER
Finally,
Type: ADDRESS and press ENTER
NOTE: The first time you run the program, you will see a message displayed
on your screen that informs you that the program is creating the necessary
index files. This process will take just a few moments. In a few seconds,
the title screen is displayed. Press ENTER to proceed with the program.
You select items from the program's menus by simply using the arrow keys
to highlight your choice and then press ENTER. Alternatively, you can
simply type the FIRST LETTER of the choice and do NOT press ENTER.
CONTEXT-SENSITIVE ON-LINE HELP
------------------------------
Context-sensitive HELP is available, i.e. help for each menu and
data-entry field. To access the context-sensitive HELP, press the
F1 function key at any time. NOTE: If you press F1 for help, and no
specific help is available for that particular field (on fields
other than LAST NAME in both BROWSE and SELECTED REPORTS), a Help
Index will be displayed on your screen. Use the ARROW keys to scroll
through the index (UP or DOWN). Highlight the item you want help on
and press ENTER. To leave help, press ESC. NOTE: There are more
entries in the table than are displayed on the screen at one time,
so you can scroll down to them.
ON-LINE CALENDAR/APPOINTMENTS REMINDER
--------------------------------------
The program also provides you with an on-line calendar access,
which can be used to record and retrieve your appointments. To
access the calendar, simply press the F8 function key at any time.
Use the keys indicated in the boxes to perform the corresponding
function. To leave the calendar, press ESC.

CREATING AN ADDRESS BOOK RECORD
-------------------------------
All data is entered in the program via the main input screen. This
screen is displayed when you select option #2, Add Records, from the
Main Menu.
The input screen is made up of five sections:
1. An identification section, containing the person's
salutation (Mr., Mrs. Ms., Dr.), first and last name
and company.
2. Codes and Comment section, containing your custom code
fields and comment field.
3. Business location section, containing the business
address and telephone data.
4. Home location section, containing the home address and
telephone data.
5. Electronic bulletin board section, containing information
that describes the BBSs you call and/or are interested in.
1. IDENTIFICATION SECTION
When you choose to Add Records from the Main Menu, the cursor moves
through the following fields each time you press ENTER or reach the end
of a field. (Note: You can move through the fields also by pressing your
UP and DOWN ARROW keys.)
1. Name: The Name field is really three fields --
a) Personal Title
b) First Name
c) Last Name
2. Title
3. Department
4. Company
2. CODE AND COMMENT SECTION
Code. You see that space is provided for up to four codes, with three
spaces for each code. You may use these fields as you see fit, or not
use them at all. These fields are useful for creating a codified set of
criteria for searching and retrieving data separate from name, etc. The
codes also allow you to group/classify you records in any way you wish.

You should be consistent in thr use of codes. You may want to keep a
list of codes and their meaning for your reference. (A future release of
this program will permit you to keep codes within a table that you can
access while in the program.)
Comment. This field may be used to enter brief remarks. The field is
displayed on your large Rolodex-type cards. You may use this field for
the person's FAX number, should there be one.
3. BUSINESS LOCATION SECTION
The cursor then moves through the following fields:
1. Address
2. City
3. State
4. Zip Code
5. Country
6. Telephone Number
4. HOME LOCATION SECTION
All of the fields here are identical to the business location section,
as is the sequence of the cursor movements.
You need not entered data in all of the fields, as long as you enter a
last name. You can then go back at a later time and complete the other
fields. If you leave the last name field blank, no record is created,
and you will be returned back to the Main Menu. If you enter only
partial data, you can press the PGDN key to tell the program to save
what you have entered.
5. ELECTRONIC BULLETIN BOARD SECTION
The cursor moves through the following fields:
1. BBS Name
2. BBS Tel-1 through BBS Tel-3
3. Node Id
4. Baud
5. BBS Soft.
6. Hub Called
7. Hub Id
8. # Nodes
Due to the ever-growing popularity of electronic bulletin board systems,
many personal computer users are setting such systems up and/or calling
them for news, information and files. As a result, we have opted to
include a section in this program to allow you to keep track of your
favorite bulletin board systems.
The fields in this section are somewhat self-explanatory. However, let's
review them. NOTE: All fields are optional.
Node Id. This field is used when you are trying to keep track of the
node designation (node name) of the BBS, should the BBS participate in a
BBS communications network.
Baud. This field is used to indicate the maximum baud rate utilized by
the BBS, should you wish to keep track of this information, and possibly
arrange your BBS data by baud rates.
BBS Soft. This field allows you to indicate the specific type of BBS
software that it used by the BBS.
Hub Called. This field is used when you are trying to keep track of what
HUB the particular BBS calls, should the BBS participate in a BBS
communications network.
Hub Id. This field is used when you are trying to keep track of the hub
designation (hub name) of the BBS, should the BBS participate in a BBS
communications network and serves as a district/regional/area Hub, which
nodes call for their mail and messages.
# Nodes. This field is used to permit you to track the number of nodes
in use by a particular BBS.

ADDING ANOTHER RECORD
When you have completed one record, the program asks you if you want to
enter another record. If so, press Y, otherwise, press N. If you press
Y, you start data entry all over agin for the next record. if you press
N, you are returned to the Main Menu.
EDITING, SCANNING AND DELETING RECORDS
--------------------------------------
THE SCAN FUNCTION
To retrieve a record, select Edit/Delete records from the Main Menu --
Option #3. Then, select the criteria under which you want to scan for
records in the database.
Scanning is used to search for records and to display them. This feature
enables you to pinpoint a specific record, or to locate a group of
related records, displaying each one, if you wish.
For example, you may want to scan on the company name, Citibank. To do
so, choose scanning by company. The program displays the first record
that matches your criteria. You then continue viewing the remaining
records, one after the other, one-at-a-time, forward or backward, by
pressing F for forward or B for backward. The records are displayed in
ascending alphabetical sequence based on the criteria you entered.
If you do not enter any scanning criteria and simply press ENTER, with
no person's name, company name or state, the program proceeds to display
the very first record in the database. You can then go forward or
backward from that point. (You cannot go backward at the first record or
forward at the last record, so the program will beep when you reach
those points.)

SCANNING PROCEDURES
Here is the process for scanning.
1. Select the criteria field on which you want to search, i.e.,
by name, company or state.
2. At the criteria screen, enter the data requested, or leave
the field blank and press ENTER to go to the first record
in the sequence you selected, i.e., name, company, state.
You may enter partial data. The program is NOT case-sensi-
tive. For example, search for all companies whose names
begin with a C, simple type c or C and press ENTER. The
program will begin displaying the first record that matches
your criteria. Obviously, the more characters you enter, the
more exact the search.
3. If there are records that match your criteria, they are
displayed, one-at-a-time, as you press F or B. If there are
no records that match your criteria, the program tells you
that it found no matching records, and to press any key to
proceed.
F = Forward, B = Backward. Each time you press F, you browse forward one
record to the next one. To go back, you press B.
E = Edit. Once you have located the record you want and you need to
change it, press E. The program enters EDIT mode. each field is
highlighted. You can move among the fields with the CURSOR keys or the
ENTER key. When you have finished editing the record, simply press PGDN
to save the changes. (Editing automatically ends and saves the record if
you go beyond the last field.)
D = Delete. Deletion is really a two-step process. First, press D.
You'll notice that the program tells you that the record has been
"Marked for DELETION." Although the record is flagged for deletion, it
is actually not physically deleted until you select the Pack function
from the Utilities Menu. Records remain flagged for deletion
indefinitely, until you pack. When you pack, all flagged records are
permanently deleted.
U = Undelete. If you want to "undelete" a record (i.e., take the delete
flag off), simply press U. Undelete will unflag any records not
physically deleted via the pack function. After you pack, however, you
can no longer undelete deleted records.
X = Exit. When you press X, you are returned to the Main Menu.

GENERATING REPORTS
------------------
The program produces several different types of reports. To choose and
produce reports, select option #4 from the Main Menu. The program then
displays the Print Menu.
Here you have three options.
1. Print entire Database
2. Print Selected Records
3. BBS Report Print
PRINT ENTIRE DATABASE
If you select item #1 from the Print Menu, you are presented with the
print Selection Menu.
1. Telephone lists. Prints the first and last name, and the
business and home phone numbers.
2. Detailed report. Prints all of the information for each
record, in compressed format.
3. Mailing labels. Prints name, title, department, company,
address, city, state and zip code that fits on a 3.5" by
15/16th" label. The program asks if you want either the
business or the home address.
4. Large Rolodex. Prints name, business phone, title, company,
address, city, state, zip code, home phone, home address and
comment on 3" x 5" cards.
5. Small Rolodex. Prints name and home or business data on
2" x 4" cards.
Before the program actually prints, it prompts you to make sure that the
printer is properly aligned. When you are ready, simply press ENTER to
begin printing.
PRINT SELECTED RECORDS
With this option, you select the specific records you want printed.
Other than this selection process, the reports are the same as above.
When you select Print Selected Records, a Report Criteria screen is
displayed. this screen looks identical to the initial data input screen
you used to enter and edit records, with the exception that only certain
fields are highlighted. You select the records you want by entering in
the criteria for selection.

For a record to be selected, it must meet ALL of the criteria you enter.
Here, if you leave all fields blank, unlike with the Browse option,
you'll be returned to the Main Menu.
If you enter too many criteria, you may not select all of the records
you want. By the same token, if you do not enter in enough criteria, you
may select too many records. You may need to experiment a little for you
to determine the maximum criteria that should be used to meet your
needs. (NOTE: This is where the CODES fields may come in handy.)
Once you have entered your criteria, press PGDN while in any field, or
press ENTER while in the last field. The program then searches for all
records that match your criteria. The prgram will ask what type of
report you want for your records. (See above)
When records are found that match your criteria, the program displays
the Criteria Search Results screen. This screen tells you how many
records match your criteria.
Press P to print the records, or S to display them on your screen.
If you display them on your screen, the program allows you to go forward
or backward through them.
if no records are found, the program tells you.

BBS REPORT PRINT
With this option, you select whether you want to produce printed
reports or text files that you can print at a later time or distribute
to others. However, before reports or files are produced, the program
first makes sure that you have data entered in either the BBS Name field
or the BBS Node Id field for at least one address book record. If both
of these fields are blank for a given record, then no record for that
person is printed or produced in the text file. If you have no entries
in these fields at all, a blank report is produced or a blank file
generated.
Press R to print the reports, F to generate text files.
Two reports are produced, one in the person's name sequence (Sysop's
Name), and the second in Home/BBS state and city sequence.
If you choose files, two files are produces: BBSNAME.TXT is the report
file in the person's name sequence; BBSSTATE.TXT is the report file in
the state and city sequence.

BROWSE RECORDS
--------------
This feature is almost identical to the Print Selected Records option
available from the Generate Reports selection of the Main Menu. There
are two major differences, however.
First, if you leave all fields blank, all records will be selected and
displayed/printed, according to your choice.
Second, when you choose to view records on the screen, specific data from
all records that match your criteria are displayed on the screen at once
rather than only one record at a time with the fields displayed across
the screen.
You scroll up and down through the records with the UP and DOWN ARROW
keys. Since there are also data off to the right, you can scroll to the
right and to the left with the RIGHT and LEFT ARROW keys. You can pan,
i.e., scroll one full screen, to the right and to the left by pressing
^RIGHT ARROW or ^LEFT ARROW (where the ^ represents the CTRL key).
To return to the Menu, simply press ESC or ENTER when you are done
browsing.

USING UTILITIES
---------------
The program includes some housekeeping functions. These functions are
accessed via the Utilities Menu, which you select by choosing option #4
from the Main Menu.
Reindex. You should peridically reindex your database. Occasionally, you
may find that your search routines are not working as they should. If
this happens, simply select Reindex. This option recreates your index
files for you.
Pack. This is the final stage used to eliminate records that have been
flagged for deletion. Packing is not reversible. Once records are
physically deleted via the Pack function, they cannot be recovered. If
you accidently delete a record and pack your file, you will have to
reenter your data for that record.

EXITING FROM THE SYSTEM
-----------------------
It is absolutely critical that you ALWAYS exit from the program by
selecting option #0 from the Main Menu. Failure to do so may cause
damage to your files.
When you decide to Exit, the sign-off screen asks you to confirm your
decision. If you press Y, you quit the program and are returned to DOS.
If you press N, you are returned to the Main Menu.
