TITLE : Exporting Data to Word for Windows for Mail Merge




Microsoft Word for Windows version 1.1 accepts a delimited (with
quotation marks), comma separated ASCII file as the basis for a
Form Letter data document. However, this ASCII file must be
converted to the Word for Windows file format.

Before exporting data from Paradox, verify the delimiter and
separator characters Paradox is using for ASCII export. Paradox
ships with a default of quote <"> delimiter and comma <,>
separator. It defaults to placing the quote delimiter around
only String data. These settings will work properly for
importing to Word for Windows. Word for Windows will also accept
delimiting of all fields with the quote characters.

To verify your current Paradox ASCII file handling settings, use
the Custom Configuration Program (CCP). Start the CCP by
choosing {Tools} {More} {Directory} from the Paradox main menu
and change directories to the Paradox System Files directory
(usually c:\pdox35). From the main menu choose {Scripts} {Play}
{Custom}. This starts the CCP. From the CCP menu choose
{ASCII}. The ASCII menu has a number of choices for different
ASCII file handling settings. Choose {Delimiter} and type in the
quote character <"> then press . Choose {Separator} and
type in the comma character <,> then press . Choose
{Fields Delimited} and choose {OnlyStrings}. After verifying
these settings, press then choose {DO-IT!} from the menu.
Save these changes to {HardDisk} or {Network} whichever is
appropriate.

Once the delimiter, separator, and fields separated have been
verified or changed to the correct characters through the CCP you
can start Paradox. From the main menu choose {Tools}
{ExportImport} {Export} {ASCII} {Delimited} choose the correct
table and supply a new file name for the data. This ends the
Paradox export process.

To create the Word for Windows Form Letter data file, start the
program. From the main menu choose {File} {Open}, the program
opens a dialog box to prompt for the file to open. Choose the
correct file. Word for Windows opens another dialog box for the
correct file type. From the list available choose Text(PC-8).
Once Word for Windows imports the new file, insert a blank line
above the first line of data. In this blank line put the Word

for Windows bookmarks that were used in the main document, again
separated by commas. From the main menu choose {File} {Save
As...} to save the updated file. In the {Save As...} dialog box
change the file extension to .DOC. Also press the Options button
to change the File Format. From the list box choose the {Normal}
file format.

The instructions for Microsoft Word for Windows were, at the time
of this writing, accurate. However, since Word for Windows is
not a product manufactured by Borland, we are not able to answer
